Working within the charity sector desirable but not mandatory
Ensure accurate recording and maintenance of finance data, including accurate classification of income
Organise and maintain filing of all financial paperwork
Ensure all income and expenditure data from different channels is processed accurately for management and financial accounts
Ensure balance sheet and bank is reconciled and reviewed monthly
Provide cash flow and other financial accounts, summaries, reports, periodically as required by the Director for trustees/funders (e.g. month-end, quarterly, end of grant basis)
Maintain the financial spend and records of the charity
Manage employee expenses, process and reimbursements
Run the payroll, make timely submissions of Gift Aid claims
Invoice clients, customers and partners
Prepare year end tax returns and annual accounts, file companies house documents on time
Put a financial process and policy in place or update any existing policies and procedures
This is a part-time position, twice a month every 2 weeks. Rate of pay- depending on experience. The post can mostly be fulfilled from home, however, attendance of the office to collect correspondence and network with the rest of the team is required.
Role: Business Administrator/Office Manager
To work within our busy community organisation to lead office organisation and communication through performing and updating administrative/office duties.
Hours: 12 hours a week - Part time - and full time depending on experience
Salary: Pending experience and qualifications
It is essential that the Business Administrator/Office Manager must:
Carry out duties and responsibilities in accordance with LCC’S duty of care to children, young and vulnerable people.

At all times carry out responsibilities/duties within the framework of the LCC's Safeguarding, Prevent and Equal Opportunities Policies.
NB. this post holder will be required to undertake any other reasonable duties as discussed with and as directed by the preschool manager.
A relevant level 3 Qualification
An enhanced Disclosure and Barring Service (DBS) check is required for this role. Applicants must be prepared to disclose any convictions they may have and any orders which have been made against them.

Business Administration Job Duties:
Provide office support including customer and employee support
Organise files and records of business activity
Researching company data and archived reports
Update database and files/records
Ensure all policies and procedures are updated
Create operational manual for the organisation
Interact with clients either on the phone or in person
Follow up on business communications, billing, and ordering
Communicate with materials suppliers and vendors
Track and Trace invoicing, expenses and company spending
Build relationships with clients, partners/funders
Strong verbal and written skills for correspondence and reports
Resolve minor technical support
Organise and coordinate events
Order office stationery and other supplies
Prepare meeting rooms by setting up chairs and getting refreshments
Participate in office meetings and take minutes of meetings
Work with parents and families to encourage their involvement
Market services of Loughborough Community to maximise occupancy levels and fee income.
Communicate effectively with children and adults
Be flexible and be able to work weekends
